What you can do
Keep the source and decision together
Inventory positions connect product, warehouse, location, lot, custody state, quantity and carrying value. A reservation consumes available capacity for an accepted order or work order. Stock events record physical changes, while layers retain remaining quantity and value.
Warehouse Manager reviews transfer scope and counts. Warehouse Operator records the actual movement. A dispatched transfer remains in transit until the receiving warehouse records its exact remainder; a planned move alone does not place goods in the destination.
How the work is organized
- Agree. Agree which entity owns stock at every site.
- Mark. Mark storage, held, picking and transit locations before the first move.
- Set. Set who can approve count adjustments and transfer release.
An inventory position records legal owner, product, site, location and custody. Reservations claim eligible quantity for an accepted demand line. Warehouse Manager reviews a transfer before dispatch; Warehouse Operator records departure and exact destination receipt. Owned goods in transit remain visible and unavailable for another promise.
What to agree during setup
Agree which entity owns stock at every site. Mark storage, held, picking and transit locations before the first move. Set who can approve count adjustments and transfer release. Name the person who will review a changed revision and the person who will reconcile a posted correction. Check that both work within the right legal entity and assigned site.
Check the handoff on an actual case
A distributor holds several pallets in two warehouses. Sales reserves part of one position, leaving only its unreserved quantity available. The team dispatches a transfer of another portion and records it as transit. A blind count later compares observed stock with a locked snapshot; review precedes any correction.
For the two-warehouse move, compare source stock, the approved transfer line and the destination receipt. Dispatch only the released amount. If the destination receives less, keep the unresolved quantity in transit until a later receipt or reviewed loss records its fate. For a blind count, preserve the locked population and first observation before an adjustment decision.
What your team sees
- Available stock — lists eligible positions and the quantity left after reservations.
- Transfer board — follows approved transfers through transit and partial receipt.

What it keeps track of
Data model- Inventory
- Current owned stock by complete identity and custody state; provenance is not a second balance.
- Locations
- Shallow warehouse bins, staging and transit custody locations.
- Warehouses
- Physical sites may host segregated entity-owned positions; legal owner stays on each position.
- Reservations
- Exclusive bounded demand claims through picking and owned transit.
- Stock events
- One immutable group of stock movements and the associated journal effect.
- Stock movements
- Signed position/layer legs; transfers balance quantity and value by SKU.
- Stock layers
- Remaining quantity/carrying value with receipt/output/return lineage.
- Stock transfers
- Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
- Stock transfer lines
- Partial transfer quantities retain equal in-transit ownership and cost.
- Count plans
- Blind scoped counts with explicit review and cost before adjustment.
- Count lines
- Observed base quantity and signed variance against an unchanged locked population.
- Count locks
- Time-bounded counted scope protecting all identities, including newly appearing positions.
Who uses it
