What you can do

Follow supplier demand from an approved commitment to an accepted arrival and matched bill

Purchasing Manager turns a requisition into a purchase order with product units, original promise dates, currency and approved total. The approval basis includes cumulative gross increases, so a series of small amendments cannot quietly exceed authority. Supplier identity and payment terms belong to the buying entity. The sent order is a commitment; it is not evidence that goods reached the warehouse.

Warehouse Operator records an actual arrival against the purchase order. Goods receipt lines retain arrived, accepted, rejected and pending quantities separately. A receipt acceptance claims only the bounded tranche being examined and posts stock once. Accountant matches supplier bill lines to accepted receipt scope, leaving a variance or exception for review rather than treating the arrival as a payable automatically.

How the work is organized

  • Source. Keep the responsible entity, original document and current revision attached to the transaction.
  • Decision. Send material releases and exceptions to the named reviewer with the exact scope and reason.
  • Result. Record actual quantities and financial effects separately from plans and instructions.

What to agree during setup

Agree on units, suppliers, receiving locations, tolerance and who can accept a receipt. Rehearse bills in more than one currency with an approved dated exchange rate. Keep supplier bank changes under independent finance confirmation.

Use the supplier and purchase order identifiers when importing open commitments. Purchasing Manager submits the current order total for an independent decision; Warehouse Operator records arrival without treating it as acceptance. Warehouse Manager reviews the accepted tranche, and Accountant matches only that tranche to a bill. Rehearse these handoffs with ordinary accounts.

Check the handoff on an actual case

Use a purchase order for component stock with a partial arrival. Accept the usable portion and reject a damaged portion. Verify that the unreceived order balance remains open, the accepted inventory reflects the correct amount, and the bill cannot consume more accepted scope than exists. Then try a repeated acceptance event and inspect the retained source identity.

Warehouse Manager should show which arrived line was accepted, rejected or left pending. Purchasing Manager should still see the unreceived commitment, while Accountant should see the bill variance against accepted stock. A second acceptance of the same tranche must leave inventory and receipt accrual unchanged.

What your team sees

  • Goods receipts to review — Arrivals awaiting warehouse review, with the source purchase and receiver visible.
  • Purchase commitments — Approved, sent and partly received supplier orders with their current totals.
