What you can do

Keep the buyer's reservation in context

Property Coordinator records a buyer reservation for the selected unit, with its booking date and deposit amount. Reserved, Contracted, Cancelled and Completed distinguish the booking’s operating position. Property Manager checks the unit’s other activity before the business treats that reservation as progressing toward a completed commercial outcome.

The buyer identity should remain consistent with the party register. Select the existing person or organization so the manager can follow the case without reconciling duplicate records. Read the reservation alongside relevant leases and other bookings for the unit. That context helps the team decide the next action using the actual agreement and customer discussion.

How the work is organized

  • Reservation capture. Property Coordinator selects the existing unit and buyer, enters the booking date and records the agreed deposit amount. Check the source information with the person responsible for the reservation before handing it to Property Manager.
  • Contract position. Property Manager reviews the agreement evidence before the team uses Contracted. Agree a document storage or signing connection during setup when the business needs that evidence in its working environment.
  • Outcome recording. Property Coordinator or Property Manager records Completed or Cancelled when the actual case reaches that outcome. Keep the reservation available for later reconciliation and review the payment position with Finance Officer where it affects the handoff.

What to agree during setup

Agree who checks the unit before a reservation is entered and which existing leases or bookings must be considered. Review that person’s access with ordinary role accounts. Choose a consistent procedure for handling a buyer who changes the intended unit so the team can still explain what happened to the original reservation.

Agree what Contracted and Completed mean in the operating process and where the supporting agreement will be retained. Decide how staff compare the booked deposit with actual payment evidence. Finance Officer should understand the source reference and customer context before treating the money as reconciled. Name the owner who resolves a cancelled reservation’s financial position.

Check the handoff on an actual case

Use an illustrative reservation for B-204 with a deposit of 5,000. Property Coordinator selects the existing buyer and unit with the booking date. Property Manager inspects the unit’s relevant agreements and other reservations before the team confirms its commercial commitment. Then rehearse the move from Reserved to Contracted using the actual agreement evidence.

Run another case in which the buyer cancels before completion. Retain Cancelled as the booking outcome and ask Finance Officer to review the real payment evidence. Discuss the financial resolution with its owner separately from the booking’s operating state. Reconcile any uncertain source link before telling the customer that the handoff is finished.

The rehearsal should also include a buyer with an existing party record and a unit with current lease activity. Ask the coordinator to locate the existing identities and the manager to explain which evidence supports the next commercial action. Preserve those references when the booking outcome is recorded.
