- Implementation and rollout
How a Real Estate ERP rollout works
Start with a property and a lease cycle the operating team can reconcile.
Agree the operating scope
Property Manager chooses a representative property with current agreements and identifiable units. Include buyer bookings and lease-linked development work where those processes belong in the first operating cycle.
Prepare identities and references
Reconcile the unit and party register, then link each staff identity to the correct account. Check Property Reviewer access and configure Admin's agreed identity, allocation and evidence-reading responsibilities.
Rehearse the lease decision
Prepare an eligible agreement and an overlapping request for the same unit. Property Reviewer checks the terms and decides activation. Inspect the resulting unit position and monthly rent periods, then repeat the action to check for duplicate billing.
Reconcile collection
Finance Officer reviews a charge and an evidenced tenant payment. Rehearse the configured allocation handoff with a partial amount, then review a reversed payment and its existing allocations before accepting the revised balance.
Add property work
Configure the team's service and booking screens. Resolve the personal service list to the signed-in staff member. Follow a repair to completion and a buyer reservation to its actual outcome, reviewing unit condition and payment evidence separately.
Set up development capture
Configure processing on project creation before operational capture begins. Rehearse with the intended lease, project dates and budget. Test a target date before the start, a duplicate project on the same lease and a disabled creator. Inspect the feedback and attributed result with the authorized reader.
Release the operating cycle
Compare imported records and balances with the original register. The operating owners rehearse their work using their own accounts and resolve exceptions before expanding to another property.
What the customer provides
Bring unit identifiers, party contact details and current lease terms. Include dated charges, payment references and the evidence supporting received money. Prepare open service issues with their assigned staff, buyer reservations and any lease-linked development scope.
Name the people responsible for lease activation, receipt confirmation and allocation maintenance. Agree the monetary basis and the first reporting date. Provide access to chosen document, bank and accounting connections through their normal sign-in process.
Changing it afterwards
Use Proto to prepare configuration changes for review by the affected operating owners. Rehearse changed permissions, lease rules and connection mappings with ordinary accounts before release. Keep existing references and attributed evidence intact, and repeat the overlapping-lease and partial-payment cases after a material change.
Review roles and the import model with the operating team.
