Dealer sales

Dealer sales starts with the legal customer, the right delivery contact and a price that can be carried into fulfillment. A distributor may sell stocked finished items to several dealers at different terms. Each accepted order keeps its own commercial basis and original promise, even when stock is delivered in parts.

What you can do

How the work is organized

  • Trading account. The dealer identifies the entity, billing address, credit limit, payment terms and applicable price list. A contact can serve billing, ordering or delivery without becoming an application user.
  • Offer. A quote records the item unit, quantity, discount, currency, tax basis and validity date. Accepted net value is allocated once to the order line.
  • Commitment. Sales Representative prepares the order; Sales Manager independently reviews the accepted revision. Finance Manager handles a required credit exception before stock is promised.

A dealer hold or expired offer needs a new decision before the team accepts more demand. The order keeps the address and original promise used when the customer agreed. A later change to the catalog price does not silently reprice that commitment.

What to agree during setup

Agree which legal entity sells each item, who may activate a dealer, and which price list and payment terms apply. Review product-specific units so a case and a base unit do not become interchangeable by accident. Decide how the sales team records customer acceptance and how credit exposure is reviewed across open receivables and approved unbilled commitments.

Name the Sales Manager who can independently accept the order and the Finance Manager who can decide a bounded credit exception. A preparer cannot supply their own independent review by holding several roles. Keep the accepted offer, its revision and any decision reason available for later dispute resolution.

Check the handoff on an actual case

Take a dealer order for a stocked product that a warehouse can supply only in part. Enter the agreed quantity and original delivery promise, then confirm the appropriate price tier and tax treatment. Sales Representative submits the order. Sales Manager reviews the accepted amount and delivery details; Finance Manager resolves a credit exception if the new exposure exceeds the available limit.

Reserve the available portion and procure the shortage. Check that the first shipment consumes only its eligible line quantity and net value. The unshipped balance remains open under the original promise. When the next delivery is made, the team should still be able to tell what was originally agreed and which quantity has already been billed.

What your team sees

  • Dealer orders awaiting approval — Submitted commitments with the dealer, amount and owner for independent commercial review.
  • My dealer orders — The sales representative’s current orders and their progress.
  • Dealer order board — Approved and partially shipped demand that still needs attention.

Follow the work through

Follow dealer order to delivery and purchasing to receipt. Review the access roles before a pilot.
