What you can do

Keep liability and settlement separate

Accountant prepares customer invoices from eligible title-transferred order allocations and supplier bills from accepted receipt or documented nonstock expense scope. Finance Manager reviews the frozen document, amount, currency, tax and open period before approval. Posting creates a journal; it does not assert that a customer has paid or that a supplier disbursement has settled.

Customer cash begins with an actual receipt and unapplied balance. Applying it to an invoice consumes both available receipt and open invoice scope. Supplier payment begins with a frozen run, restricted beneficiary and release decision. A submitted or accepted instruction remains different from a bank settlement or rejection.

How the work is organized

  • Reviewed documents. Invoice, bill, journal and correction revisions retain their preparer and independent decision.
  • Actual money. Bank statement evidence distinguishes received, matched, reconciled and disputed movements.
  • Entity books. Each legal entity has its own currency basis, chart of accounts, period and balancing journal lines.

What to agree during setup

Set account mappings for stock, WIP, trade, cash, tax and variance sources. Finance Manager owns period and rate approval; Accountant prepares journals and close tasks. Agree how actual bank evidence reaches the app and who reconciles ambiguous settlement or return messages. Configure tax codes for the entities and transactions in use. An external submission or timeout must never be treated as settled cash.

Set the period cutoff and required reconciliation tasks before closing. Revaluation uses reviewed rates and current source balances. A later correction needs a linked reversal or specific correction document, rather than editing the posted history. Keep restricted supplier bank details out of purchasing and warehouse screens.

Check the handoff on an actual case

A shipment transfers title for part of a customer order. Accountant prepares an invoice for only that portion. Finance Manager checks the accepted price, tax, rate and open accounting period, then approves it independently. Later, a bank statement shows a partial customer receipt. Record the receipt once and apply no more than its available amount to the invoice; the rest of the invoice remains outstanding.

On the supply side, match a bill to accepted goods and prepare a payment run for the open liability. Finance Manager checks the protected beneficiary and amount before release. If the bank rejects an instruction, the supplier balance remains unsettled. At close, Accountant reconciles AR, AP, stock, bank and interfaces; Finance Manager closes only after current evidence is reviewed.

What your team sees

  • Invoices awaiting approval — Finance Manager reviews prepared customer billing.
  • Payments awaiting release — The reviewer checks frozen supplier settlement proposals.
  • Period close work — Accountant follows reconciliation tasks and exceptions.
