What you can do
Buy against a known need
Purchasing Manager turns an operational request into a supplier commitment for a named entity and receiving warehouse. A requisition line can retain the customer order line that created the need. The purchase order freezes its product unit, agreed net price, tax, currency and original supplier promise. A revised promise remains visible beside the original, so a delayed delivery cannot quietly appear on time.
A purchase approval covers the whole current commitment. If an amendment raises one line and lowers another, the authority basis still includes cumulative increases. A supplier order is sent only when there is evidence of the outbound instruction. Preparing it does not establish that a supplier has received it.
How the work is organized
- Supplier basis. Active supplier identity, payment terms and protected beneficiary details have separate owners.
- Arrival evidence. Warehouse Operator records actual goods received against exact order lines and locations.
- Accepted quantity. Independent receipt review separates accepted, rejected and pending portions before stock is posted.
What to agree during setup
Agree who may request material, which Purchasing Manager can approve another person’s order, and when Finance Manager must review a higher amount. Keep supplier banking restricted to finance even when purchasing owns the commercial relationship. Map each receiving warehouse to its permitted entity and product units. Set the standard cost, currency rate and posting profile before accepting stock that will affect inventory value and receipt accrual.
Decide which evidence proves arrival and which evidence proves acceptance. Goods at a dock can be short, damaged or awaiting inspection. The receipt history should remain intact while later tranches are independently accepted. A rejected tranche must never become available stock simply because the supplier’s delivery is recorded.
Check the handoff on an actual case
Order a batch of fasteners in a named buying pack for a warehouse. The supplier delivers only part of it; Warehouse Operator records the actual arrival and its lot. Warehouse Manager reviews the tranche and accepts only the usable quantity. The remaining amount stays open against the approved order. When another delivery arrives, record a new actual event rather than changing the first arrival.
Accountant matches the supplier bill to unused accepted receipt scope. A bill for more than accepted quantity waits for resolution; the already matched quantity cannot be claimed by a second bill. Compare original promise, revised promise, actual arrival, accepted quantity and billed quantity. If a return to supplier is needed later, preserve the original receipt and current carrying value separately from the supplier’s commercial credit.
What your team sees
- My supplier orders — Purchasing Manager follows orders they prepared and their current commitment.
- Purchase approval queue — An eligible reviewer sees submitted orders and the full authority basis.
- Receipts awaiting review — Warehouse Manager checks arrived goods before accepting stock.
