What you can do

Start with the commercial account

Sales Representative works from a dealer account with a reviewed payment term and an effective price list. An ordering contact and a delivery contact can differ from the legal billing account. A quote records the selected selling unit, quantity, price, allocated discount and tax treatment. The dealer sees an offer only after its release evidence is retained.

How the work is organized

  • Source. The price list must be active for the entity and offer date.
  • Decision. Sales Representative should check the selected item unit and quantity tier, then preserve the quoted net and tax amounts when the order is accepted.
  • Evidence. When an accepted line is revised, compare the original promise with the new date and keep the cancellation quantity separate from what has shipped.

What to agree during setup

An order is a new accepted revision. Sales Manager checks the accepted quantities, net amount, ship-to address and title rule, then approves the current revision. Finance Manager handles a required credit exception separately. A review based on stale exposure cannot authorize a second order to spend the same remaining credit capacity. The original delivery promise remains visible after a revised date is agreed.

The price list must be active for the entity and offer date. Sales Representative should check the selected item unit and quantity tier, then preserve the quoted net and tax amounts when the order is accepted. Sales Manager should see the current credit review and any separate exception decision.

Check the handoff on an actual case

For a dealer requesting a partial shipment of network accessories, prepare the offer on a specific pack basis. Accept the order for the agreed quantity, reserve only eligible stock, then compare the first shipment with the remaining open line. A later price change does not change the accepted net allocation. If the dealer returns a delivered line, link the return to that shipment and invoice rather than editing the order history.

When an accepted line is revised, compare the original promise with the new date and keep the cancellation quantity separate from what has shipped. The next warehouse owner needs the open base quantity, not just the order header status.

Before Sales Representative sends a revised offer, check the quote validity date and whether the price list still applies. An accepted order keeps the dealer account, ship-to details and currency with the reviewed revision. If credit exposure changes while approval is pending, Sales Manager asks Finance Manager for a current review instead of relying on the earlier headroom. Warehouse staff then pick only the released quantity.
