What you can do
Coverage against an employee
A benefit plan has a code, name, type, country, employee class, carrier, contribution percentages and effective dates. Medical, dental, vision, retirement, life, disability and wellness are available plan types. A plan’s active flag and effective period help the team identify the right plan when an employee joins or changes circumstances. The employee enrollment records the selected coverage tier, effective dates, employee and employer contributions, status and event that caused the enrollment.
The enrollment belongs to both an employee and a plan. That link is useful when Payroll Admin reviews deductions: the person, coverage, dates and contribution can be inspected together. Employee, HR Business Partner and Payroll Admin can inspect the enrollment. Admin maintains plans and enrollment records.
How the work is organized
- Plan. Plans define the benefit type, country, employee class and contribution percentages for an effective period.
- Enrollment. Each enrollment links a worker to a plan and records tier, event, contributions and dates.
- Review. Pending, active, waived and terminated states distinguish requested coverage from current or ended coverage.
What to agree during setup
Confirm the plan code, carrier, country and class for each offering. Agree how an employee’s employment type maps to that class. Decide how employees elect or waive coverage, who records a qualifying life event, and who confirms effective dates. Agree whether employee and employer contributions are entered as amounts or derived from plan percentages for the organization. Payroll Admin should review the agreed contribution amounts before they are used in pay.
Benefit data may include dependents. Decide who can see that detail and how it is collected. Check role access using a real employee account, an HR Business Partner account and a Payroll Admin account. Have Admin record the election and let Payroll Admin check the contribution against the employee and plan.
Check the handoff on an actual case
Rehearse a new hire choosing family coverage. Check the plan’s country and class against the employee’s country, employment type and agreed eligibility rules, then enter a Pending enrollment with the tier, event and effective start. Review the employee and employer contributions and activate the enrollment after the business decision. Next change the employee’s circumstance and record the new effective period without losing the first enrollment’s dates. Payroll Admin compares the applicable contribution to the pay period before adding or checking the statement line.
A second rehearsal should cover a waiver. The record remains tied to the employee and plan with Waived status, so the absence of a deduction has a reason visible to the team. For a terminated enrollment, check the end date against the final pay period.
