What you can do

Establish what the source actually covers

A result needs evidence for the reporting window being discussed. Data Steward inspects the source snapshot’s coverage start and end, capture time and freshness state. Metric readings keep their snapshot association so the analyst can trace the source scope behind a measured value.

Supporting documents retain a title, date and external reference with the reporting period. Verification records the responsible person and whether the document has been verified. Sustainability Reviewer can inspect those facts alongside the result instead of assuming that an attached file is sufficient evidence on its own.

How the work is organized

  • Check the snapshot window. Data Steward compares source coverage with the intended reporting period. Fresh, Stale and Failed distinguish the recorded source state. The capture time and source hash help identify the particular evidence being examined.
  • Verify the document. The responsible verifier checks the attachment and its external reference against the period. Keep the document date visible during review. A file should support the case it is attached to and be understandable to the person making the decision.
  • Trace the metric reading. Sustainability Analyst follows a reading to its snapshot and period. Retain the reading’s own start and end window, unit and recorded value. This gives the reviewer enough context to examine a coverage mismatch without losing the measured fact.

What to agree during setup

Agree which source system supplies the first snapshot and what its coverage dates mean. Decide how the team maintains freshness status and who investigates a failed capture. Use the operating time zone consistently when comparing the period with the source window.

Name the person responsible for document verification and confirm that they can open the external reference. Set a clear expectation for what evidence supports a result. A recent capture may still cover the wrong reporting dates, so the review needs both the capture information and the actual window.

Check the handoff on an actual case

Prepare a snapshot for the April Operations Review case. Its capture occurs in early May, but its coverage spans April. Data Steward confirms that the source window matches the reporting question and that the associated reading uses the intended unit.

Now replace the rehearsal input with a recently captured snapshot covering only the first part of April. Sustainability Reviewer should identify the partial coverage before relying on the value for the whole month. The team determines the appropriate follow-up and retains the source reference for investigation.

Add a supporting document whose title looks correct but whose external reference belongs to another period. The verifier should resolve the mismatch before marking the evidence verified. Ask Auditor to trace the accepted reading to the inspected snapshot and document context from a separate account.

What your team sees

  • Source Coverage Schedule — Snapshot coverage windows, capture times and freshness states.
  • Unverified Evidence — Documents still awaiting verification with the responsible person visible.
  • Metric Reading Windows — Readings with their period, unit and source snapshot.
