What you can do
Put a responsible person behind each rate
Team Members holds the people who deliver client work. Each member can have a role, organization, work email, bill rate, cost rate, weekly capacity, and active flag. Admin maintains these values so Engagement Manager can choose a delivery person and evaluate work against realistic capacity. A role such as Senior Consultant describes the member’s position; it does not by itself grant application access.
When a service line names a team member, the line can show that person’s bill and cost rates beside its own hours and rate. This gives Service Reviewer and Engagement Manager a concrete basis for checking delivered amount and delivery cost. The team member’s accumulated billable and total logged hours, delivered service amount, and utilization percentage support the same discussion across engagements.
How the work is organized
- Firm structure. Organizations identifies practice groups, business units, or regional offices and connects them to team members and clients.
- Rate basis. Team Members carries bill and cost rates, while each service line also retains its own entered rate for the work performed.
- Capacity picture. Weekly capacity and logged hours help the manager see who is already committed and where a new assignment may create pressure.
What to agree during setup
Decide who owns rate changes and how often the firm updates cost and bill rates. The manager should know whether a service line uses its entered rate or a member’s current bill rate for a given engagement. Agree how to handle a member who changes organization or becomes inactive while an engagement remains active. Historical service lines should remain interpretable after those changes.
Set a consistent meaning for weekly capacity and for billable work. If a consultant logs internal work, the nonbillable hours should not be treated as client delivery. Use the same working week and rounding rules across the firm when reviewing utilization. No one should infer available capacity from the member’s job title alone; compare the capacity value with the hours already recorded.
Check the handoff on an actual case
A Senior Consultant has a bill rate of $175, a cost rate of $95, and a 40 hour weekly capacity. Engagement Manager chooses that person for a client engagement with a 400 hour budget. The Consultant links their service and time entries to the engagement. The consultant enters an eight hour billable service line and a corresponding time entry. The submission check approves the valid line; Service Reviewer then compares its engagement, hours, rate, and billable flag with the client work. Engagement Manager can then compare the approved amount with delivered cost and see how the member’s logged hours affect utilization.
Repeat the case with a nonbillable time entry and confirm that the hours still contribute to total work without being counted as billable hours. Change a member’s active flag only after the manager has decided who owns open work. The review should show who made that decision and which current engagement still needs coverage.
