What you can do
Make each decision traceable
A review decision belongs to an event and records a source revision, reviewer, decision, time, reason and operation key. This matters when a hall plan or event changes while review is underway. The team needs to know which exact revision was approved or rejected rather than treating a decision as permanent permission for all later edits.
Event attachments keep a title, evidence type, upload time and visibility scope. The uploader is a team member. Internal and shared visibility help the coordinator present the appropriate material for a venue setup review while retaining internal working evidence separately. The reviewer can inspect that material with the event and setup it supports.
How the work is organized
- Review. Independent Reviewer records an approve, reject or return decision for the source revision.
- Guard. Operation receipts retain action, expected revision, stable key and result state.
- Reconcile. Operations Manager checks local effects and the authoritative provider when an external reference exists.
What to agree during setup
Assign reviewers who are independent of the person preparing the setup or correction. Agree which attachments belong in shared visibility and who can upload them. Set a routine for reviewing operation receipts in Pending, Failed or needs review so uncertain results do not disappear inside a completed event. A stable operation key should remain with a retry or investigation.
For a rehearsal, submit a hall setup, then change the source revision before the reviewer decides. The old decision must not authorize the changed plan. Next, use an operation with an external reference whose effect is uncertain. Operations Manager should find the original receipt and compare its expected effect with the local record and provider source.
Check the handoff on an actual case
Venue Coordinator submits a hall setup with a guest capacity and evidence attachment. Independent Reviewer checks the submitted revision, records a decision and gives a reason. If the setup is rejected, the coordinator sees the reason and prepares a corrected version. When it is approved, the event owner can continue with the booking process.
Later, Operations Manager sees a receipt whose result needs review. The receipt identifies the action, expected revision and external reference. Reconciliation reads the linked local effects and checks the configured authoritative source when needed. It marks the receipt completed only when the effects match. A discrepancy remains visible for investigation; reconciliation does not repeat external execution.
