What you can do

Record the service interval against equipment

Preventive planning begins with an asset and its service interval. Maintenance Planner records interval days or hours, last completion and the next due date. The plan keeps timing separate from a particular execution: a work order carries the assignee, due date and work state when maintenance is actually scheduled. This gives the team a place to review recurring needs without losing the history of individual jobs.

How the work is organized

  • Set the interval. Maintenance Planner selects an asset and supplies numeric interval values and dates.
  • Review due work. The due list uses the next due date to identify plans needing attention.
  • Schedule execution. The planner raises or selects an order, checks permit validity and assigns a team member.

What to agree during setup

Agree the date basis for each asset’s next due date and who updates the plan after a completed service. A day interval and an hour interval represent different operating assumptions; use a consistent policy for each equipment class. The release action validates the asset, numeric intervals and dates before creating a schedule entry. The returned record identity lets the planner confirm the entry was created.

A preventive plan should lead to a clear work order when service is due. The plan alone does not name the performing technician or authorize field work. The planning action performs that handoff after the required Approved permit is valid today. Decide who checks the due list and who changes the order state after execution begins.

Check the handoff on an actual case

A facilities team plans periodic inspection of a pump. Maintenance Planner selects the pump, enters an interval and next due date, and confirms the schedule record appears in the register. As the date approaches, the planner reviews the due list and opens a Preventive work order for the same pump. Permit Issuer approves a permit covering the scheduling day. The planner assigns a technician and due date, then checks that the work order moves to Scheduled.

Technician records the inspection and sends it to Review. Maintenance Manager accepts the result and checks the completed service history. The planner compares that completion date with the next due date on the plan. This is the point to agree the next cycle’s timing, using the actual work outcome rather than assuming the original plan date was met.

What your team sees

  • Preventive Plan Register — The plan register pairs each asset with its interval and next due date.
  • Scheduled Preventive Schedules — The due list focuses the planner on service dates needing attention.

Follow the work through

Follow the first handoff and the next decision. Rehearse the sequence with a representative asset before opening it to the full team.
