Specialty growers
Keep surveyed plots, scouting notes and harvest grades tied to the crop. A farm manager can start with one active field and use the same record pattern as more plots join the plan. The central choice is which field and crop cycle each piece of work belongs to. Crews should be able to recognize that link when they open their assigned work.
How Farm Management System is set up for you
Boundary record
Keep survey geometry and date with the named field.
Scouting
Record measured observations with their unit and date.
Harvest grade
Review each quantity and grade on the harvest record.
Pick a representative field with an active crop cycle. Record its name, area and availability, then add the crop and expected harvest date. Assign planting, irrigation or inspection work to a named person and review the manager's approval. If stock is used, inspect the lot's unit, expiry and on-hand quantity before the task proceeds. Ask the operator to record the actual work date so the field history remains useful to the next shift.
Walk through a scouting observation and a dated harvest record with the reviewer. The reviewer should see the linked crop cycle, the measured quantity, its unit and grade. Compare the completed task with the harvest date before closing the cycle. Keep the field's surveyed boundary and input applications alongside the operating history when those records are used by your team.
For a wider rollout, settle field codes and measurement units before importing more records. Check that two people looking at the same plot see the same current cycle and assigned work. The [data model](/farm-management-system/data-model) explains the references; the [implementation guide](/farm-management-system/implementation) shows the order to bring them in.
