What you can do
Put the location in context
A site record anchors installation work to a named client location. The Installation Manager records the site name, primary contact, industry and billing terms before creating an engagement. The site owner gives the delivery team a clear person to consult when a contact changes or a prospective location becomes active. The owning organization connects the location to the field group responsible for it.
A site can begin as Prospect and move to Active when work is ready. On hold and Closed remain visible states for later review. The distinction matters when one location has an active installation and another is still being qualified. A regional manager can see both without treating a prospect as an operating site.
How the work is organized
- Accountable owner. The site owner keeps the contact and operating status current, while the installation manager owns the engagement that will be delivered there.
- Commercial context. Billing terms sit on the site so the billing coordinator can read them while reviewing the linked milestone and payment records.
- Linked delivery. Each installation engagement points back to a site, allowing the team to inspect the work associated with one location.
What to agree during setup
Decide who can create sites, who changes their status, and how a site is named when the field team serves several locations. Agree which organization owns each site and how the primary contact will be maintained. A site name alone is insufficient for a team that works across regional offices; the owner and organization need to be assigned before field work starts.
Choose the billing term that reflects the agreement with the customer. If a term changes, the billing coordinator should check open milestone payments before relying on the updated site record. Keep contract files and other location evidence attached to the applicable record so a reviewer can find the context for the engagement.
Check the handoff on an actual case
Consider a new manufacturing location that has been discussed but has not scheduled work. The Installation Manager creates the site as Prospect, enters the primary contact and selects billing terms. The Regional Installation Manager confirms the owning organization and assigns a site owner. When installation dates are agreed, the site becomes Active and the Installation Manager links a new engagement to it. The team can now trace the engagement, its milestones and its work orders back to the same location.
If work pauses, mark the site on hold only when the location itself is on hold; an individual engagement has its own status. That separation avoids hiding an active engagement merely because a second project at the same site is delayed. Review both records before reporting current delivery.
