What you can do

Extend the booking with a named service

A rental can include a training or recovery session. The Front Desk Agent records the service name, type, start date and participant count, then links it to the customer’s main booking. The booking remains the anchor for the unit, customer and rental dates. The add-on record supplies the details that belong to the service, so a later account or scheduling question can be traced to the right rental.

A service charge is a separate record. It has its own service name, charge date, amount and Draft, Posted or Voided state. Finance Officer reviews it in the context of the linked booking. Keeping the session and charge distinct lets the team see what was booked and what was billed. The Operations Reviewer can inspect the linked source evidence when a service or charge decision needs review.

How the work is organized

  • Attach. Select the existing rental and record whether the add-on is Training or Recovery, when it starts and how many people will participate.
  • Verify. Check that the add-on points to the intended booking and that its details match the customer request.
  • Charge. Prepare the associated amount as a draft add-on charge and review it before posting.

What to agree during setup

Decide which team member owns the service calendar and how they confirm a training or recovery slot. The add-on record contains a start date and participant count; the team should agree what is required before promising a session. Use a consistent service name so a charge can be matched to the activity. Tell Finance Officer when a service changes or is cancelled, and make sure any posted amount is handled through the charge state rather than silently removed.

The primary booking’s customer and unit should remain the source of rental identity. Staff should not create a second rental to represent a single extra session. A linked add-on gives the reviewer a path from the service to the booking and from the booking to its account.

Check the handoff on an actual case

A customer with a confirmed equipment rental asks for a recovery session during the rental. The desk opens the existing booking and records a Recovery add-on with its name, start date and participant count. It verifies the linked booking before saving. Finance Officer prepares a charge with the matching service name and amount, then reviews it before posting. The customer account now shows the rental charge and the recovery charge separately, both connected to the same booking.

If the charge amount is wrong while still Draft, Finance Officer corrects it before posting. If a posted charge must be cancelled, Voided records the financial outcome. The service record remains available to explain why the line appeared.

What your team sees

  • Training and Recovery Sessions — Linked service bookings grouped by type, start date and participant count.
  • Draft Add-on Charges — Service amounts that need financial review before posting.
