What you can do
Give each task an owner
A maintenance task links a unit, the related booking and an assigned team member. Its type distinguishes Cleaning, Maintenance and Customer Service. A due date, completion date and status show what work is planned, who owns it and whether it is finished. The Property Manager can see open tasks for returned equipment before making a unit Available again.
Team member records connect staff identity to a user account. That link matters when the desk or reviewer attributes work to the person who performed it. The task status moves from Open to Assigned, in progress and Completed as work proceeds. The equipment has its own state; a completed task alone should not silently erase an inspection concern or release a unit for a new rental.
How the work is organized
- Open. Record the work type, unit, booking and due date when cleaning, maintenance or customer service is needed.
- Assign. Select the responsible team member and follow the task through active work to completion.
- Release. Review the inspection and outstanding work before changing the equipment back to Available.
What to agree during setup
Decide which task types are used for each return condition. A routine cleaning task and a repair task can both be associated with a returned unit, but the release decision should consider each open item. Agree who assigns work, who records completion and who approves that the unit is ready. Keep the booking link when the work arose from a specific rental; it gives context for a later customer complaint or maintenance review.
Use the team member’s user link consistently so assigned work has a real actor. An inactive team member should not remain the effective owner of a new task without reassignment. Agree how overdue tasks are escalated and how the desk learns that a unit has moved into Maintenance rather than being ready for pickup.
Check the handoff on an actual case
A returned unit needs cleaning and a mechanical check. The Property Manager creates tasks linked to the unit and the returned booking, assigns them to team members and sets due dates. The workers update their tasks as they start and complete them. The unit stays in Cleaning or Maintenance while the work is open. Operations Reviewer checks the inspection evidence, and the Property Manager releases the unit only after the inspection passes and necessary tasks are complete.
The next desk agent sees that unit in the available list only after release. If a repair is still in progress, the service queue shows its current state and the team can choose a different unit for the next request.
