What you can do
Begin with the intended rental
The Front Desk Agent captures who is renting, which unit they want, when they will pick it up and when they expect to return it. The booking carries the customer and equipment references, participant count and daily rate. These are the facts the Property Manager needs for the availability decision. A request remains Requested while the team checks it; a phone conversation alone does not reserve the unit.
The customer record keeps a name and contact details together. The equipment record gives the unit code, type, capacity and current availability state. The booking joins them so the desk can answer a practical question: which customer expects this particular unit during these dates? The pickup and return dates also let the team look ahead at where demand may conflict.
How the work is organized
- Capture. Open a booking against the actual customer and equipment unit, then enter pickup, return, participant count and daily rate.
- Check. Compare the requested interval with other confirmed and picked-up bookings for the same unit, and compare participant count with capacity.
- Decide. The Property Manager confirms an eligible request or leaves it for correction; the desk can then prepare the pickup.
What to agree during setup
Agree how the team records a day boundary. The availability check treats pickup as the beginning of the interval and return as the end; a unit returned on a given date can be considered for a later booking that begins then only under the operation’s handoff policy. Decide who can change dates after confirmation and how a revised request is reviewed. Set a clear rule for equipment that is Cleaning or Maintenance before an agent promises it to a customer.
Choose one naming convention for unit codes and one way to enter the customer. Duplicate customer rows make a request history harder to follow. Keep the agreed daily rate on the booking, even when a later rate plan changes, so the rental remains understandable.
Check the handoff on an actual case
A customer asks for a training unit from Monday through Thursday for a small group. The Front Desk Agent creates the request and links the customer and chosen unit. The Property Manager checks that the unit is Available, that its capacity covers the group and that no confirmed or picked-up booking overlaps the requested interval. The rate plan supplies a reference for the proposed daily rate and minimum period. Once approved, the booking becomes Confirmed. The desk can see the pickup date in its schedule and does not need to reconstruct the agreement from messages.
If another customer already has that unit over the same interval, the manager leaves the request open for a different unit or date. The change must be visible on the booking before confirmation.
