What you can do

Make the training time a clear commitment

A booking brings together the customer name, training subject, organization, assigned team member, resource and planned interval. The coordinator can inspect requests on a list, place accepted work on a calendar and read lifecycle status on a board. The quoted amount remains with the booking so the team can check the same commercial context when it reviews payment evidence.

Requested, Held and Confirmed mean different things. A requested time still needs an eligibility and capacity check. A held time reserves an interval while the coordinator checks the remaining conditions. Confirmation is the commitment the team will work from. Once training begins, the booking can move to in progress and then Completed. Cancellation and no show remain visible on the booking calendar and lifecycle board.

How the work is organized

  • One owner. The booking names the team member responsible for moving the request forward.
  • One interval. A start is required; coordinators complete the end time before planning against resource capacity.
  • A visible lifecycle. The list, calendar and board show the same booking at different points in the working day.

What to agree during setup

Decide who accepts requests for each organization and how far ahead a training time can be held. Set the rule for a late cancellation, a missed arrival and the evidence needed before completion. Agree who may adjust a confirmed time and when the customer is told. Configure each team member’s organization and time zone before assigning work. Check that a resource belongs to the same organization as the booking.

Choose a representative week for rehearsal. Include an ordinary confirmed appointment, two requests for the same resource interval, a cancellation and a customer who does not arrive. The team should agree which person owns each exception before the schedule is used for live commitments.

Check the handoff on an actual case

A client asks for a Tuesday morning training session. The coordinator records the subject, customer, quoted amount and requested start, then selects the trainer and eligible resource. Before holding it, the coordinator checks the resource lines for another reservation. If the interval is free, the booking is held and then confirmed after the required evidence is reviewed. The calendar shows the confirmed time to the team.

On Tuesday the trainer begins the appointment and records attended work. The coordinator sees the booking move from in progress to Completed after the session decision and completion evidence are ready. If the client had missed the appointment, the coordinator would record no show and keep the original booking and related receipts for review.

Follow the work through

Booking to attendance follows the record from request to completed work. Review session covers the decision after training.
