What you can do
Reserve the place where training happens
A resource represents an eligible training place or other bookable resource within an organization. Its directory carries a code, contact, address and eligibility note. A booking selects a resource, while resource lines record reserved units for that specific interval. The lines can also capture setup and cleanup minutes. That gives coordinators a way to inspect the capacity decision behind a hold rather than relying on a free-form note in the appointment.
An active resource can be considered for new work. Inactive resources remain identifiable on historical bookings, but the coordinator should use the current directory when planning another interval. The resource card view helps staff find a location by name and address; the booking resource lines show what was reserved for a particular appointment.
How the work is organized
- Organization owns eligibility. Each resource belongs to an organization and has its own eligibility note.
- Booking names the place. The booking carries the resource selected for its interval.
- Lines capture the allocation. Reserved units and preparation time are recorded under the parent booking.
What to agree during setup
List each room, studio or training resource your team actually books. Give it a stable code, current address and the right organization. Decide how capacity is measured for shared spaces, whether setup and cleanup need a buffer, and which coordinator can change an allocation after a hold. Write eligibility notes in operational terms: which kind of training may use the resource and who confirms an exception.
Before using the schedule for customers, rehearse overlapping requests. Check one interval that fits, one that exceeds available units and one that touches another appointment’s cleanup time. Confirm the team can identify the affected booking and its resource line from the directory. Keep the decision in the booking record rather than resolving a clash through an undocumented side message.
Check the handoff on an actual case
A coordinator receives a request for a one-hour private session in the downtown studio. The booking names the requested start and end, while the resource directory identifies the studio and its active status. The coordinator adds a line for the studio with the units needed and the time required to prepare and clear it. Another request for the same interval can be compared with that line before either is confirmed.
If a different trainer needs the studio immediately afterward, the setup and cleanup minutes make the boundary visible. If the first booking is cancelled, the coordinator checks the associated resource line and action receipt before making that capacity available again. The original line remains linked to the booking for later review.
