What you can do

Check the people and equipment behind the plan

A Planned load still needs a feasible driver and vehicle arrangement. The Fleet Coordinator maintains the driver roster with active state, eligibility date and external authority reference. Vehicle records retain equipment class, capacity in pounds and readiness alongside the external fleet identity.

The Dispatcher uses that information with the intended assignment interval. Driver eligibility must cover the work being assigned, and vehicle readiness needs to reflect the operating situation. Existing assignments also matter: the same driver or vehicle cannot be treated as available for overlapping commitments without resolving the conflict.

How the work is organized

  • Driver eligibility. The driver code distinguishes the person being assigned. Review the eligibility end date and the external authority when preparing an upcoming interval. The Fleet Coordinator investigates information that needs confirmation with its responsible source.
  • Vehicle readiness. Ready, Held and Maintenance describe the vehicle’s recorded readiness. Check the equipment class and capacity against the actual transport requirement. The external fleet identity helps the team locate evidence maintained by the fleet’s other operating systems.
  • Assignment and defect context. Start and end intervals connect a driver and vehicle to the load. Review existing intervals before confirmation. Recorded vehicle defects provide severity, repair evidence and release time for the readiness discussion and any maintenance review.

What to agree during setup

Agree who maintains driver eligibility dates and which authority the reference identifies. Explain when an assignment must be escalated because its interval extends beyond the recorded eligibility. Establish who confirms vehicle readiness and how the team handles a Held or Maintenance vehicle before dispatch.

Define the assignment time convention and the checks used to find conflicting intervals. Review the meaning of vehicle capacity with the people who know the load requirement. Identify where authoritative repair evidence lives and who brings it into a maintenance release request when needed.

Check the handoff on an actual case

A Dispatcher selects a driver and vehicle for a load due that evening. Compare the assignment start and end with the driver’s eligibility period and existing assignments. Check the vehicle’s readiness and equipment class, then review any relevant recorded defect and repair evidence.

Confirm the assignment only after the feasibility questions are resolved. A colleague should be able to follow the load to the intended driver and vehicle and understand the interval reserved for each. If the vehicle needs maintenance release, send that work through the independent review before dispatch proceeds.

Repeat the case with a driver’s eligibility ending before the proposed assignment finishes. Have the Fleet Coordinator resolve the source information or identify a different eligible arrangement. Then try a vehicle with an overlapping assignment. Revisit the interval or resource choice, keeping the final decision clear to dispatch. The rehearsal should leave the team with a workable arrangement and a traceable basis for the readiness checks.

What your team sees

  • Fleet Readiness Board — Vehicles grouped by recorded readiness with equipment class, capacity and external identity.
  • Drivers Roster — Active drivers with eligibility dates and authority references for assignment checks.
  • Vehicle Defects Default List — Recorded defect severity, repair evidence and release times linked to the vehicle.
