What you can do
Plan a session the team can deliver
A service defines the float offering: its name, duration, capacity, price and active state. A session is a dated occurrence of that service. The Studio Manager assigns an instructor and, when relevant, a tank, then sets its start, end, capacity and status. Keeping the reusable offer apart from its scheduled occurrence makes it possible to review a specific booking against the time and capacity that were actually offered.
The schedule is useful to the coordinator taking a request and to the instructor preparing to receive a member. The tank link makes readiness visible in the same chain as the session. A planned session can be opened for booking once the manager agrees its staffing and operating scope. A full or cancelled session has a different meaning from an open one; staff should use the recorded status when responding to a request.
How the work is organized
- Offer. Services holds the duration, price and capacity expected for each active offering.
- Occurrence. Sessions holds the dated time, assigned instructor, tank and operating status.
- Demand. Bookings links members and requested places to the exact session.
What to agree during setup
Agree how long a tank must be reserved around a service and who opens a planned session. The fields hold session start and end and the service duration; the studio should decide how those values are used in its day plan. Set each instructor up as a person linked to a user account so check-in is attributable to the right staff member. Map each physical tank to its register before assigning it to a session.
Review the service’s capacity and the session’s capacity together. A booking has a places value, so the coordinator and manager need an agreed way to count confirmed demand against the session limit. A service price may call for a booking-linked payment record. Decide who confirms a receipt before it appears as paid in reporting.
Check the handoff on an actual case
A manager schedules an evening float service with an instructor and a specific tank. The session begins as planned. After checking staff coverage and the tank register, the manager opens it. Two members request places. The coordinator sees both requests in the booking queue and their shared session on the schedule. The manager checks the session’s capacity and the already confirmed places before deciding which requests can be confirmed.
If the tank is being cleaned, the schedule still shows the link, while the tank register shows its current condition. The manager resolves the operating plan before the instructor prepares for the session. A later cancellation should be reflected in the session status and the linked booking decisions; the original request remains traceable through the booking number.
