What you can do
Follow the operating record
Monitoring receipts identify the action, operation key, expected revision, time and result for guarded changes. They let Operations Lead and Reconciliation Analyst see whether an attempted transition is pending, complete, failed or needs review. A failed receipt is a work item tied to the parent batch, with a reason to inspect before any retry.
Corrective decisions are separate records. Quality Reviewer supplies the decision, reason, reviewer identity and source revision. Record attachments carry the supporting file, evidence type, upload time and visibility. The reviewer can compare the decision with the revision that was actually submitted. A decision for another revision is not a shortcut to release.
When a release reports a failure after an external action, Reconciliation Analyst reads the receipt and the linked local effects first. The analyst compares identity, quantity and revision with any external reference. Only matching expected effects justify completion. If the evidence disagrees, the receipt stays in review and the team investigates the original action. This avoids repeating an external operation simply because its local acknowledgement was delayed.
How the work is organized
- Read the receipt. Reconciliation Analyst starts with the parent batch, operation key, expected revision and result state.
- Match the decision. Quality Reviewer records a reason and source revision separately from the operation result.
- Retain the proof. Attach the supporting file to the parent batch and check its visibility before sharing it.
What to agree during setup
Agree who owns failed and review-needed receipts, who can attach evidence and who may close a reconciled operation. Decide how provider references will enter the record when an outside service is connected. Keep the submitted revision and reviewer reason available to the analyst. Set attachment visibility for the people who need to inspect the case.
Check the handoff on an actual case
Use a submitted hygiene check for a batch whose release receipt needs review. Quality Reviewer records a decision on that revision. Reconciliation Analyst reads the receipt, compares its expected revision with the batch and checks the referenced effect. If an external event exists, match its identity and quantity before completion. Keep a mismatch open, even when the reviewer approved the check. Try the same operation key again only after examining the prior result.
What your team sees
- Operation Exceptions — Open failed and review-needed receipts from the exception queue.
- Pending Operation Receipts — Find pending receipts and inspect the effect before retrying.
