What you can do
Follow the financial case after approval
An approved application can have obligations with a due date, principal, fees and a status. Provider repayments arrive with a receipt number, reference, amount, received time and status. The Repayment Specialist checks the provider reference and confirmation before tying a receipt to an obligation. An allocation records how much of that receipt goes to principal and fees on a specific obligation. The links allow the team to explain which receipt reduced which balance.
A pending receipt is still awaiting confirmation. A reversed receipt must not be treated as settled money. When a provider corrects a result, trace the original receipt and allocations before changing the obligation. Keep the application link on both the obligation and repayment so an investigator or reviewer can follow the financial case back to the approved decision.
How the work is organized
- Open obligations. Due and partly paid obligations show their application, amount and due date.
- Confirmed receipts. The specialist can review provider references and confirmed amounts in a focused list.
- Allocation trail. Principal and fee amounts connect a repayment to the obligation it addresses.
What to agree during setup
Choose the provider feed that establishes receipt confirmation and the reference used to identify a duplicate event. Decide who reconciles a reversal, who may correct an allocation, and how the team checks open balances before applying money. Rehearse partial payment as well as full payment. A record marked paid should reconcile with the confirmed receipts and allocations behind it.
Import approved applications before obligations, and obligations before their allocation history. Keep old receipt numbers and provider references stable during migration. For a pilot, choose an obligation with principal and fees and a confirmed receipt smaller than the open amount. Ask the Repayment Specialist to explain the resulting partly paid state from the allocation record.
Check the handoff on an actual case
Open a due obligation for an approved application. Find the provider receipt and confirm its status and reference. Link an allocation with the principal and fee portions that the provider amount supports. Compare the allocation total with the receipt and the obligation’s remaining balance. If the receipt is pending or reversed, leave the obligation unsettled and investigate the provider result. A Credit Reviewer revisiting the approved application should see a consistent path from decision to obligation to receipt.
