What you can do
Connect deliverable review, milestone invoices and recorded collections
A milestone belongs to an engagement and has an owner, due date, amount and deliverable summary. The manager reviews a submitted milestone and marks it Approved for billing. Milestone Invoice then checks that the milestone has an amount and engagement before marking it Invoiced and writing an operation receipt. Milestone payments holds the invoice number, due date, amount, method, paid date and payment status.
How the work is organized
The engagement manager makes the delivery decision. The billing coordinator checks ready milestones and payment exceptions, then records collections. A practice lead can compare invoices and received amounts with delivered work.
- Delivery first. Review the deliverable before approving the milestone for billing.
- Guarded invoice. Approved milestones need an amount and engagement to advance.
- Collection trace. Mark a payment Received only after checking the receipt against the invoice.
What to agree during setup
Agree how deliverable acceptance is evidenced and who may change a milestone amount. Set how invoice numbers are assigned and how disputed or overdue payments are handled. Rehearse a milestone with an amount and engagement and another without an amount, so the coordinator can read both successful and failed receipts.
Check the handoff on an actual case
A consultant submits a finished deliverable. The manager checks the summary and approves its milestone. Milestone Invoice finds an amount and engagement, marks it invoiced and writes a successful receipt. The billing coordinator enters a payment with invoice number and due date. After payment arrives, the coordinator marks it received; Milestone Payment Receipt records the collection operation. A second approved milestone with no amount stays approved and produces a failed receipt for follow-up.
After the payment is marked received, compare the amount on the payment with the milestone and inspect the Payment Record receipt. Keep an overdue or disputed item visible until someone owns the follow-up. A milestone marked Invoiced represents an operation result in the app; agree the handoff to the invoice delivery channel and retain the invoice number on the payment record.
The coordinator checks the payment due date and method while the item is still open. If the client disputes the invoice, the coordinator keeps the payment in Disputed and uses the milestone summary to explain the billed work. A received status follows the external collection check.
Review a paid milestone against the payment record and the original deliverable summary. This gives the manager a clear answer when a client asks what the invoice covered.
