Prepare the first operating cycle
Bring a real receipt, vehicle identity, card reference and purchase date. Agree the quantity and odometer convention, then enter the purchase with its organization and relevant load. Attach the receipt and check that the related-record reference identifies the intended transaction.
Have the supervisor examine the purchase and record a decision. Include a returned case so the Dispatcher practices finding the rationale, correcting the record and preparing it for a fresh review.
Review before release
Ask the Auditor to follow the purchase through its receipt and decisions. Confirm that the Dispatcher maintains purchase outcomes and the supervisor records decisions under the agreed permissions. Test personal load filtering and organization access separately.
Review the pilot period with fuel type, units and state visible. Resolve inconsistent imports and unclear references before expanding the process. Use the implementation phases to agree any external connection and the person responsible for its reconciliation.
