How a Fuel Management System rollout works

Configure a consistent purchase record and rehearse the supervisor-to-Dispatcher handoff before live review.

  1. Agree the review scope

Choose a familiar vehicle and purchase period. Define the quantity, odometer and date conventions used for the pilot and identify the deciding supervisor.

  2. Prepare identities

Reconcile organizations, vehicles, team members and users. Check similar asset names and test the user link used for personal load follow-up.

  3. Prepare purchase evidence

Enter the pilot purchase and receipt, then confirm the relevant load and asset references. Verify that the document opens for the reviewer.

  4. Rehearse the decision

Have the supervisor approve a clear purchase and return another for correction. The Dispatcher records the purchase outcome under the agreed procedure.

  5. Rehearse correction

Correct a receipt reference or vehicle attribution, then obtain a fresh decision against the revised entry. Ask the Auditor to explain the evidence trail.

  6. Run the period review

Compare the agreed set of purchases by vehicle, card reference and site. Resolve unit differences and outstanding decisions before expanding the process.

What the customer provides

Provide fleet identities, operating-company references and the personnel responsible for capture and review. Bring actual receipt examples with recognizable card references and purchase dates, plus load evidence that helps explain the operating context.

Identify the owners of external card, telematics, fleet and accounting systems. Agree which connections the pilot needs and how source corrections will be reconciled. Provide the existing review policy and the meaning of a Completed purchase for the team’s process.

Changing it afterwards

Rehearse a changed import or review rule against the same purchase case before using it in live activity. Recheck permissions after access changes and compare source values when the displayed amount calculation changes. Keep the reporting conventions and role handoffs aligned with the operating procedure.
