How a Fund Accounting rollout works

Start with one organization, one fund decision and a complete money trail.

  1. Set the context

Configure the organization, team access, accounting period, ledger accounts, partner and donor masters.

  2. Prepare source work

Bring a partner bill with coded lines and an attachment; prepare a donor invoice with its lines and due date.

  3. Rehearse decisions

Record an eligible and rejected fund restriction, then use the native bill approval and invoice issue actions on the appropriate records.

  4. Follow money

Schedule and release a payment, inspect its operation result and compare the bank reference. Test a partial donor collection.

  5. Review accounting

Inspect journal detail, account coding and the selected period before expanding the import.

What the customer provides

Provide the organization list, chart of accounts, open period, partner and donor identifiers, current bills and receivables, fund restriction wording, source attachments and the people who make finance decisions. Agree where bank and provider references come from. Choose one real operating case whose document, decision and money evidence can be checked end to end.

Changing it afterwards

When fund rules or access assignments change, review in-progress documents before applying the new rule. Keep prior decisions and action results readable. Rehearse corrections to cash applications and journal entries with the finance team. Expand by organization or operating cycle only after the first case can be followed from source document to final evidence. See roles and integrations.
