What you can do

Attach restaurant and spa activity to the stay

A guest asks the front desk to reserve a spa appointment while staying at the property. The agent records the facility type, name, time and attendee count against the booking. A later outlet charge uses the same booking link, so finance can see which stay the charge belongs to.

How the work is organized

Facility bookings describe the visit to the restaurant or spa. Facility charges describe an amount and its financial state. They are separate records because a reservation can exist before any charge is incurred, and a charge may need review or voiding. The booking link gives the reviewer the source context.

  • Reserve the visit. Front Desk Agent links a restaurant or spa booking to the guest stay and records its start and party size.
  • Separate the amount. Finance Officer enters a facility charge on the same stay; a booking alone does not create a charge.
  • Check the source. Operations Reviewer compares the service booking with the draft charge before finance posts or voids it.

What to agree during setup

Agree the facility names staff will use and how an outlet confirms that a service took place. Decide who enters draft charges, who reviews the source evidence and when an amount is posted. Rehearse a cancellation and a charge that should be voided after posting.

Rehearse a spa visit and a restaurant visit under different guest bookings. Agree how the outlet reports the service and how Finance Officer identifies the correct stay. Test a draft entered against the wrong booking before any posting decision.

Check the handoff on an actual case

A guest reserves a table for two. The front desk finds the stay and records the restaurant booking. After dinner, finance enters the outlet amount as a draft against that stay. The reviewer checks the source record before the charge is posted. If the outlet corrects it, the posted charge is voided with the related booking still visible.

Front Desk Agent opens the stay and records the table reservation. Finance Officer prepares the later charge against that stay. Operations Reviewer checks the booking and charge side by side, then Finance Officer records the eligible financial state.
