What you can do

Put each task in context

Service tasks link a resource, a booking and an assigned team member. The task type identifies Cleaning, Maintenance or Client Service; due and completed dates show when action is expected and when it was recorded. A task can be open, assigned, in progress or completed. That simple path lets Front Desk Agent and Property Manager distinguish a request for work from work someone has finished.

Team members records connect the people doing the work to Users. Front Desk Agent can use the assignment to direct follow-up to a named person. The resource link matters when a room needs cleaning or maintenance; the booking link explains which visit created or depends on that work.

How the work is organized

  • Task type. Identify cleaning, maintenance or client service before assigning responsibility.
  • Assignment. Connect the task to a team member, booking and resource.
  • Completion. Use due date, completed date and status to review work before releasing a room.

What to agree during setup

Agree who creates a task at check-in and checkout, and who may change its assignment. Decide what evidence the manager expects before an occupied room returns to available after cleaning. Maintenance work needs a visible resource state so booking staff do not promise a space that needs attention. Define how overdue tasks are escalated within the team and how completed work is checked when a booking is closed.

Check the handoff on an actual case

A client leaves a fitting room after a completed visit. The resource moves to cleaning, and Front Desk Agent assigns a cleaning task to a team member with a due date. That person follows the task from assigned to in progress and records completion. Property Manager reviews the room and then returns it to available. The completed date and task link explain why the next booking could use the space.

Try a maintenance case during an active booking. The task must point to the affected resource and visit, so the manager can decide how to handle the client. Rehearse a task assigned to the wrong person as well: correct its assignment before relying on the personal task list for follow-up.
