What you can do
Track the specialty work beside the camp
Screening Staff can create a specimen record for a camp, give it a type and accession number, and record its collection date. The status distinguishes Ordered, Collected, Received, Tested and Rejected. That sequence helps the team find a specimen whose handling needs attention. The Specimens page is a direct place to work with these records. Each specimen remains linked to the camp that produced it.
A pharmacy dispensation is a separate record with medication, lot number, quantity, unit, camp and authorizing staff member. The Pharmacy Dispensations page keeps those details visible. The authorizing person is a reference to People. Clinical privileges can show whether a staff member has a Verified Prescribe privilege, so the team can make the authorization check part of its operating procedure.
How the work is organized
- Identify the specimen. Capture type, accession number and collection date on the record tied to the camp.
- Show its processing state. Update the specimen status as collection and receipt are recorded, and inspect rejected items separately.
- Attribute the dispensation. Keep the medication, lot, quantity and authorizing person on the same camp-linked entry.
These records add operational evidence to the camp. Where laboratory or pharmacy systems are in use, agree how staff confirm results and stock before recording the camp handoff.
What to agree during setup
Agree how accession numbers are issued and checked at collection and receipt. Define who may mark a specimen Received, Tested or Rejected, and what explanation the team records when a specimen is rejected. Set the units used for medication quantities and decide how staff verify the lot number against the item being handed over. Identify which screening types call for a specimen or a dispensation so the reviewer knows what to expect.
A lab connection can bring in result information after testing. Plan that connection around the camp and accession number, and decide which system owns each status. For medication, agree where stock and clinical prescribing decisions are made. The camp record should stay a traceable account of the handoff.
Check the handoff on an actual case
Create a specimen for an active camp and note its accession number. Record collection and receipt, then have another staff member find it in Specimen queue. Rehearse a rejection and confirm the camp reviewer sees the status. In the same camp, capture a dispensation with medication, lot, quantity, unit and authorizing person. Have the reviewer check that the authorizer and camp are correct. Use a second camp to show that a similar medication entry cannot be mistaken for this encounter.
What your team sees
- Specimen queue — Ordered, collected, received and rejected specimens with camp and accession number.
- Awaiting camp review — Camps where the reviewer can inspect specialty records beside notes and observations.
