What you can do

Trace the original scope

A return records whether goods move from a dealer back to the business or from the business to a supplier. The request keeps its reason, party, original line and remaining eligible quantity. An independent authorization comes before receipt or dispatch. Physical movement and commercial credit remain separate: receiving a package does not settle the customer account, and sending supplier goods back does not itself prove a credit. Disposition uses the actual quantity and reviewed outcome. Stock, invoice and bill corrections retain the original source so partial returns do not erase fulfilled history.

How the work is organized

  • Request. Tie each return line to its original sale or purchase and remaining eligible quantity.
  • Decision. Warehouse Manager authorizes the movement and reviews actual disposition.
  • Correction. Accountant handles commercial credit separately from physical receipt or dispatch.

What to agree during setup

Agree whether the first case is a dealer return or a supplier return and identify the original source line. Warehouse Manager needs the party, reason and net unreturned quantity before authorization. Warehouse Operator records what physically arrived or left; that quantity may differ from what was requested. Set who can inspect condition and choose the disposition of usable and damaged goods.

Accountant needs the original invoice or bill before creating a credit, while Finance Manager reviews any refund or financial correction requiring separate authority. Rehearse a return of only part of a delivered line and then try another request for the same units. The second request must respect the remaining source scope. Keep the movement, disposition and credit linked so a package arrival is never mistaken for a settled account.

Check the handoff on an actual case

Use a dealer return for only part of a previously delivered line. Check the authorized maximum against the original net unreturned amount. Record the actual received quantity and its condition. Route usable stock to its reviewed position; retain damaged or disputed quantity for disposition. Create the appropriate credit separately and verify a second request cannot return the same source quantity. For a supplier return, inspect the original receipt and current descendant stock before dispatching it back.

What your team sees
