What you can do
Follow the accepted commitment
A Sales Representative prepares the offer against an active dealer, the applicable price list and the product unit. The offer keeps its currency, rate, validity and tax basis. Once sent, a later change to the price list does not rewrite the accepted amount. A quote can become an order only with the retained dealer acceptance and the order’s own reviewed revision. The Sales Manager approves the order as a separate decision from the dealer’s response. Finance Manager resolves a credit exception when current exposure exceeds the limit. The team keeps the original delivery promise visible as shipments occur in parts.
How the work is organized
- Offer. Sales Representative keeps the dealer, price basis, validity and accepted offer revision together.
- Decision. Sales Manager approves the order; Finance Manager handles a credit exception separately.
- Remainder. Each shipment reduces the accepted line without changing the original promise.
What to agree during setup
Choose which dealer contacts may place orders and which price list, units, tax treatment and payment terms apply. Sales Representative should know when to retain a sent offer and dealer acceptance. Sales Manager needs the current order revision and credit review before approval. Finance Manager needs the same exposure basis to decide an exception; a dealer response alone is not that approval.
Rehearse a changed price after an offer was sent. Keep the accepted commercial basis on the order and ask who can approve a revised quantity or ship-to address. Show the open line after a partial shipment and confirm sales can explain what the dealer still expects. Agree where actual offer-send evidence will be retained and who will resolve a failed send. Test that the person preparing the order cannot approve that same revision.
Check the handoff on an actual case
Use a dealer that asks for two products, one available now and another awaiting supply. The first shipment consumes only its accepted line allocation. Check that the remaining line still appears as an open commitment and that a second shipment cannot reuse the first quantity. If the dealer’s terms or ship-to address change after acceptance, review a new order revision. Check the credit review against both open invoices and still uninvoiced commitments.
