What you can do
Keep specialty service in the guest context
An outlet booking records restaurant or spa activity, the outlet name, start time, guest count and linked reservation. An outlet charge separately records the outlet, charge date, amount and draft, posted or voided status. This distinction matters when a guest reserves a table but the resulting spend is different, or when a booking never becomes a charge. The reservation is the common context for both records.
How the work is organized
- Booking identity. Check the selected reservation before accepting an outlet request.
- Service timing. Use the start time and guest count to coordinate the outlet booking.
- Charge review. Keep the financial amount in a separate charge record for Finance Officer review.
The Property Manager can follow the reservation from request through checkout while each specialist keeps the record they own up to date. A change to one part of the stay should be checked against the linked records before the next person acts. The team should use the reservation number when discussing a particular visit, especially where a guest has stayed before.
What to agree during setup
Agree which staff may enter bookings and who accepts outlet evidence before a charge is posted. Set the handoff for a changed guest count and for an outlet charge that must be voided. If the property operates restaurant or spa systems, determine how their confirmed details reach the reservation without changing the source record silently.
Keep the first operating cycle small enough that the desk, manager and finance team can check the same case together. Review who can see guest contact details and financial amounts, and test the shift handoff with an arrival and a departure on the same day. A clear owner for each status change matters more than an attractive calendar display.
Check the handoff on an actual case
A checked-in guest asks for a restaurant table for four. Front Desk Agent connects the booking to the guest reservation, sets Restaurant and records the outlet and start time. The booking remains identifiable even if the final restaurant bill differs. When a charge arrives, Finance Officer checks its reservation and amount as a Draft outlet charge. Operations Reviewer reviews the linked source evidence before the charge is posted. If the guest changes the booking, the desk updates its timing while Finance Officer reviews any related charge separately.
Use that case during rehearsal. Have the next person open the linked reservation and explain what they would do, which record they would change, and what evidence they need before doing so. If the decision is still unclear, settle the property rule before relying on the view during a busy shift.
