What you can do

Keep the service record clear

A kitchen task connects a service job to a ward, a meal order and a named team member. A task can be Cleaning, Maintenance or Meal Service. The Front Desk Agent can assign it, set a due date and follow Open, Assigned, in progress and Completed states. The Property Manager checks the linked ward and order when service work changes the next shift’s plan.

For example, a Meal Service task for an Accepted order starts Open with the intended ward and assignee. The Front Desk Agent checks that the assigned person is active and linked to a Users record. At shift change, staff inspect the due date and task state. When the work finishes, its completion date records the handoff, while the meal order and payment evidence keep their own states.

How the work is organized

  • Source identity. Confirm the linked order and its patient and ward before acting on a related record.
  • Current work. Use the relevant status, date and assignee to identify what needs attention today.
  • Evidence. Keep the charge, receipt or completed task associated with the order that caused it.

What to agree during setup

Agree who assigns each task type and who changes its status. A task must link to the correct ward, Team Member and meal order. Use a due date that fits the order’s service interval, and decide who checks late work. A Completed task may support a service handoff, but it does not make the ward Available or the order Served by itself.

Cleaning and Maintenance can surround meal service on the same ward. Decide how the Property Manager reviews the cleaning result before changing ward availability. If the assignee or due date changes, the next shift should inspect the current task and the linked order instead of relying on an earlier verbal instruction.

Check the handoff on an actual case

Use an order for a ward that has an upcoming service. The Front Desk Agent creates a Meal Service task with that order, ward, due date and active team member. Move it from Open to Assigned and then in progress as the work begins. Record the completion date when it reaches Completed. Check the order separately: it should still show its own service state, and any receipt should still show its own payment state.

Now assign a Cleaning task for the same ward. The Property Manager reviews the finished task and the ward status before setting the ward Available for another order. Try the same task command twice; it should not produce duplicate work. If the assignee changes, the receiving person should see the current team member on the task.

What your team sees

  • Assigned kitchen tasks — Review Assigned work with its assignee, ward and due date.
  • Open kitchen tasks — See Open, Assigned and in progress work before the next shift.
