What you can do

Keep the service record clear

A meal order is the service case that connects a patient, ward, service interval, meal count and rate. The Property Manager creates a Requested order and checks ward capacity across every overlapping service day before accepting it. Accepted work can move to Preparing and then Served. Cancelled identifies an order that will not proceed. Related service requests, tasks, lines, charges and receipts retain their own records and states.

Consider a patient whose ward needs meals over a start and end date. The Property Manager selects the patient and ward, enters the count and rate, and reviews the ward’s capacity. A second order that overlaps part of the interval can change the acceptance decision. The manager approves only against the current order revision and service window, then hands the Accepted case to the staff preparing service.

How the work is organized

  • Source identity. Confirm the linked order and its patient and ward before acting on a related record.
  • Current work. Use the relevant status, date and assignee to identify what needs attention today.
  • Evidence. Keep the charge, receipt or completed task associated with the order that caused it.

What to agree during setup

Agree who owns patient identity, ward selection and the meaning of the service start and end dates. The interval is treated as a start-inclusive, end-exclusive window when checking overlapping service days. Decide how the Property Manager handles a changed count, ward or date after an earlier review. The order’s rate per meal is recorded on the order; the dated plan should be checked as planning context.

Define when staff move an Accepted order to Preparing and what evidence is needed before marking it Served. The final bill is compared with confirmed payment evidence or an acknowledged outstanding account. Payment confirmation remains a separate event. The order’s status should tell the next shift what service stage it has reached without implying that every related task is complete.

Check the handoff on an actual case

Create a Requested order for one patient and ward with a defined interval and count. The Property Manager checks the linked patient, ward capacity and every overlapping service day, then approves Requested to Accepted. Open the order again before preparation to make sure the current revision is the one approved. A repeated acceptance should return the saved result; a changed date or count needs another review.

Move the Accepted order to Preparing and inspect its related service work. Before serving, compare the meal bill with posted lines and confirmed receipts or the acknowledged balance. Mark Preparing to Served only after that review. Ask the Front Desk Agent to read the order and identify its next task without changing an order state that role cannot manage.

What your team sees

  • Meal order queue — See Requested, Accepted and Preparing orders with patient, ward and interval.
  • Requested meal orders — Isolate the cases waiting for the Property Manager’s acceptance review.
