What you can do
Keep the service episode anchored to a person and place
A hospital service episode records the service date, employee, organization, hospital department definition and named operational owner. It also carries an amount, charge code, approved fee and references to staff assignment, clinical record and payroll information. These references let an operations owner point to the related source records when a reviewer asks how the work was classified. The app’s overview page shows episode volume, status distribution, a service calendar and unresolved follow-up.
Hospital departments are effective dated definitions under an organization. An owner should select the definition that applies to the service date. The episode status runs from registered and scheduled through documented, reviewed and closed. A revision value and separate state history give the team a place to record what was reviewed and when the status changed. A service date alone cannot settle a charge or approval question; the supporting records belong to the same episode.
How the work is organized
- Registration. The episode names the employee, organization, department definition and operational owner.
- Service detail. Charge lines hold quantity, amount, outcome, source reference and service date for individual items.
- Control trail. Evidence, decisions, status history and follow-up actions point back to the episode.
What to agree during setup
Agree how organizations and hospital departments are named and who keeps the effective dates current. Decide when an episode becomes scheduled, when it is documented, and who may mark it reviewed or closed. The operational owner and independent reviewer should be named separately so each knows which action they own. Establish how staff assignment and clinical record references are obtained from the hospital’s source systems. If a charge is compared with an approved fee, agree who maintains the fee value and when a discrepancy becomes a follow-up action.
Keep the status vocabulary consistent. A registered episode can appear on a calendar, but it should not be described as reviewed until the decision and evidence have been checked. Record each transition in state history with its actor and operation key.
Check the handoff on an actual case
Choose a service performed by an employee in one hospital department. Register the episode with the correct service date, organization and owner. Confirm the department definition was effective on that date. Add the assignment and clinical references, then inspect the attached charge lines and their outcomes. Ask the reviewer to compare evidence with the episode revision. If a charge needs correction, assign follow-up with a due date and inspect its resolution before closure. After closing, compare the episode amount with its external reconciliation record.
