What you can do
Review the period behind each statement
Payroll calendars define the schedule, country, entity and currency for the employees assigned to them. A run then records its period, pay date, type, status, approving employee and totals. Payroll Officer can inspect the run together with its employee statements. Each statement carries the employee, period, currency, payment method, gross pay and deductions. Its lines distinguish earnings, pretax and posttax deductions, tax and employer amounts.
A hospital may have a regular monthly run and an off-cycle correction. The run type makes that distinction visible while keeping both tied to a calendar and a pay date. The line’s account code supports review of the intended accounting destination. Finance Reviewer checks run totals and statement lines before recording approval. Tax filings then connect the run to a jurisdiction, due date, amount and filing state.
How the work is organized
- Calendar and run. The calendar states the schedule; the run states the exact period and pay date being reviewed.
- Employee result. A statement and its lines show the amount recorded for a person and how categories contribute to it.
- Filing record. Jurisdiction and filing records let the team track the filing amount, due date and confirmation reference.
What to agree during setup
Assign the right payroll calendar to every employee and check country, entity and currency before the first period. Agree who enters statement lines and who compares the sum with the statement and run totals. A line may name a general ledger account, but the receiving ledger connection and account mapping need an owner. Decide when a run is ready for approval and which Finance Reviewer records that decision. Use the run’s approval reference to keep the decision traceable.
Review jurisdiction records before tax filings are prepared. The filing type varies by country, and each filing has its own due date and amount. Decide who records the external confirmation reference and who changes a filing from draft to filed or paid.
Check the handoff on an actual case
Pick one pay period and one employee whose weekly timesheet has been approved. Check that the employee’s calendar matches the run. Open the employee’s statement and compare its period and currency with the run. Inspect earning, deduction and tax lines, including any account code recorded on the line. Compare the numeric gross and deduction figures on the statement with its lines. Inspect the recorded net pay and run totals separately; resolve any discrepancy before approval. Ask Finance Reviewer to record the approval decision only after any difference has been resolved. Finally check the filing record for the run’s jurisdiction and due date.
