What you can do

Place the work in an academic term

Faculty Coordinator starts with the employing organization and its effective academic calendar. Each teaching assignment names the employee, owner, academic date and calendar definition. The term, department code, course reference, teaching hours and appointment end give the coordinator the context needed to distinguish a fall appointment from a later assignment for the same person. An employee record connects that work to a position, department and campus.

A practical first case is a faculty member teaching in a named term across a department. The coordinator checks the calendar dates, enters the teaching hours and course reference, and gives the assignment to the person who will maintain it. When the date or appointment end changes, the owner updates the assignment revision and keeps the evidence tied to the relevant version. The academic calendar remains an explicit source for the assignment rather than a date guessed from a course name.

How the work is organized

  • Calendar context. The organization has an effective calendar with a policy reference and date range.
  • Teaching record. Each assignment has a number, name, owner, employee, academic date and status.
  • Review trail. Evidence, leave entries, decisions and state history refer back to the assignment.

The HRMS for Education Overview brings assignment volume, status mix, calendar context and unresolved follow-up together. The assignment record carries the exact dates and references to check before a reviewer makes a decision.

What to agree during setup

Agree which organization owns each calendar, how the department code maps to departments, and who can prepare an assignment. Decide whether teaching hours are entered per assignment or taken from another scheduling source. The calendar definition and academic date must be clear before assignments are imported. Name the person responsible for checking that an employee exists and is tied to the intended position and campus. Also decide what counts as a new revision when an appointment changes.

Keep course references consistent with the school’s own course identifiers. A plain text course reference works only when the team uses the same convention each term. Decide how to handle a person who changes department midterm, so reports do not make two different assignments appear to be one.

Check the handoff on an actual case

Take one proposed assignment and trace it from organization and calendar through employee, owner and course reference. Confirm the academic date sits inside the intended calendar period. Ask the coordinator to show the revision used for review and a corresponding evidence document or faculty leave entry. Have a reviewer read the same assignment without relying on a verbal explanation. If the owner later changes teaching hours, the team should be able to identify which revision received the earlier decision.

The next handoff is to the independent reviewer. The coordinator prepares the assignment and evidence; the reviewer records a decision on the relevant revision. Returned work should become a named follow-up with an owner and due date when correction is needed. Recheck the status after that decision before the assignment is treated as approved or assigned.

What your team sees

  • Faculty assignment workboard — Teaching assignments grouped by operating status without mixing them with the leave schedule.
  • Faculty decisions awaiting review — Pending decisions with the source revision and named reviewer.
