What you can do

Review the version that was prepared

Faculty Coordinator prepares an assignment for independent review. The assignment has a revision and status, while evidence documents can carry a title, attachment, document date, external reference and verification state. Faculty leave entries hold observed or approved line details against the same assignment. The reviewer needs to know which version and evidence set were considered before making a decision.

A review decision links to the assignment and names the reviewer, source revision, decision, date and reason. State history logs a transition, actor, source revision and operation key. Follow-up actions retain a title, assigned person, due date, status and resolution. Together these records let a later reader distinguish an approved revision from a changed assignment that still needs attention.

How the work is organized

  • Source evidence. Documents and leave entries connect directly to the assignment being reviewed.
  • Decision. A named reviewer records an outcome against a specific source revision.
  • Follow-up. An owner and due date keep returned or unresolved work actionable.

Take an assignment with teaching hours and an appointment end. The coordinator attaches a dated document and checks whether a leave entry affects the academic date. The reviewer reads the assignment revision and evidence reference, then records an approval or return with a reason. If returned, the coordinator revises the source and resolves the follow-up only when the reviewer has checked the new revision. An old approval should not be silently treated as approval of the replacement.

What to agree during setup

Name the independent reviewer for each organization or department and decide who can verify a document. Establish what counts as adequate evidence for assignment changes. Decide when a leave entry is a supporting observation and when it reflects an approved adjustment. The outcome values pending, accepted and rejected on an entry are distinct from the overall reviewer decision on the assignment.

Agree the status handoff after a decision and who may move an assignment from proposed to approved, assigned, active and ended. If an attachment lives in another system, retain the source reference and access rules for that location. Decide how returned decisions create follow-up work and who closes it. The resolution should describe the actual correction instead of merely saying that a status changed.

Check the handoff on an actual case

Select one proposed assignment and record its revision. Open the linked evidence and verify that the document date and source are the intended ones. Have a second person record a decision with the same source revision. Then change teaching hours and ask the reviewer which revision they approved. The answer must be visible from the decision and state history, not inferred from the latest assignment value.

Create a follow-up action for a returned case and assign it to a person with a due date. Check that it appears in the queue until its resolution is recorded. The HRMS for Education Overview should make unresolved assignment work easy to locate; the detailed action and decision records supply the explanation.

What your team sees

  • Faculty follow-up queue — Open and in-progress actions with owners and due dates.
  • Faculty decisions awaiting review — Pending decisions against a recorded source revision.
