What you can do
Follow each opening from approved headcount to a candidate decision and dated offer
A requisition links the position, department, location, hiring manager and recruiter. Recruiter records a candidate once and opens an application for the requisition. Application stage and interview records let Hiring Manager inspect the actual evidence behind movement through the funnel. The offer then ties salary, position, candidate, start date and approval state to the chosen application.
How the work is organized
- Opening. Recruiter records the position, headcount, hiring manager and current requisition status.
- Interview evidence. Keep the completed interview and recommendation with the application before moving its stage.
- Offer decision. Compare salary with the position’s pay grade and keep the approval and signature dates on the offer.
What to agree during setup
Agree which open positions can be recruited, who approves additional headcount and when a recruiter is assigned. Set the pay grade before drafting an offer so the salary can be reviewed against a real band. Decide how the team records interview recommendations and rejection reasons. Keep candidate contact restrictions visible during outreach.
Recruiter needs edit access to requisitions, applications, interviews and offers; Hiring Manager has read access to the hiring pipeline. Agree how HR Business Partner receives the pay band and offer context for the decision. Test an in-band offer and an out-of-band offer with the same position so the team knows when to seek the higher decision before recording Sent.
Check the handoff on an actual case
Consider an open risk analyst seat. Recruiter checks the requisition is Open before adding an application. Hiring Manager reviews a completed interview and its recommendation before the application advances. If the candidate reaches the offer stage, HR Business Partner compares base salary with the position pay grade; Recruiter records the approved decision on the offer. Recruiter checks the offer expiry and signature date before treating the candidate as accepted. The application and requisition statuses then need to agree with the actual hire.
For an offer above the pay grade maximum, keep the salary comparison and decision with the offer before Recruiter changes its status. Recruiter checks that the candidate is still contactable and that the application belongs to an open requisition. Once the offer is accepted, compare the accepted date and intended start with the employee and hiring records before closing the case.
