What you can do

Give each enrollment a plan and effective window

Benefit Plans store a code, name, type, carrier, country, employee class, effective dates and contribution percentages. HR can use these details to present the plans that apply to a workforce group. Benefit Enrollments connect an employee to a plan with a coverage tier, enrollment event, effective dates and employee and employer contribution amounts.

Enrollment status distinguishes pending coverage from active, waived and terminated records. The event explains whether the choice came from a new hire, open enrollment, a qualifying life event or termination. Dependents are recorded on the enrollment, so this work needs narrower access than a general employee directory.

How the work is organized

  • Plan setup. HR Manager defines plan dates, country and class before an enrollment is entered.
  • Employee choice. The employee’s enrollment records the chosen tier and event.
  • Contribution review. HR and payroll compare the recorded amounts before they use them in a pay period.

The plan describes an available offering; the enrollment describes one employee’s choice. A plan becoming inactive should not erase historical coverage. Staff should retain effective dates so a reviewer can understand which choice applied during a prior payroll period.

What to agree during setup

Confirm carrier identifiers, country rules, employee classes and effective windows with the benefits owner. Decide who may edit plan contribution percentages and who may record an employee election. Establish how dependent information is protected. Set the connection used for carrier enrollment and how the carrier’s confirmation returns to the team.

Payroll should agree when employee and employer contribution amounts are effective. A mid-period qualifying life event needs a clear cutoff decision before a pay statement uses the new amount. Record the event and dates even when the external carrier outcome is pending.

Check the handoff on an actual case

A new employee joins a full-time position and chooses family coverage. HR selects the matching active plan, records the new-hire event, coverage tier and effective date, then enters the contribution amounts. Payroll checks the enrollment against the pay period before adding the deduction and employer line to the statement. The benefits owner follows the carrier confirmation through the agreed connection.

Later, a qualifying life event changes the coverage tier. HR closes the earlier effective window and records the new election with its own date and amounts. Review both enrollments together to make sure the payroll period uses the intended contribution and the employee can understand the change.

What your team sees

  • Pending benefit enrollments — Employee coverage choices awaiting effective-date and contribution review.
  • Onboarding work — New-hire tasks that include the benefits handoff.
