What you can do
Keep the review cycle connected to the employee
Performance Cycles define the review window, type and due dates for self review, manager review and calibration. Performance Reviews identify the subject, reviewer, review type, narrative, overall rating and status. Goals carry an employee, cycle, category, weight, due date, progress and final rating. Together these records let HR and managers follow the work from an open cycle through submitted reviews and released results.
Learning has its own records. Courses describe content, delivery, duration, competency and whether the course is mandatory. Course Enrollments assign an employee to a course with a due date, status, completion date and score. Training Records retain completion, provider, certificate reference, expiration date and a validity status.
How the work is organized
- Cycle and review. HR Manager sets the review dates; Manager and Employee work on the assigned review and goals.
- Course assignment. HR identifies required or manager-assigned learning and watches the enrollment result.
- Training evidence. The durable record shows the completed credential and when it expires.
A completed course enrollment is an activity outcome. A training record is the durable evidence staff use later when checking qualifications. Credentialing teams can inspect an expiring training record alongside clinical assignment evidence without treating the course status as a professional license verification.
What to agree during setup
Choose cycle types, due dates and who sees narrative feedback. Decide when a submitted review moves to calibration and who releases it to the employee. Define which courses are mandatory for each clinical or administrative group. Set the owner who records external training completion and certificate references.
Agree who follows expiration dates and what action is needed when a training record is expiring soon or expired. Keep rating visibility separate from the broader employee directory. The team should also decide how it corrects a course or training record entered against the wrong employee.
Check the handoff on an actual case
A nursing department opens a midyear cycle. An employee records a development goal, the manager records a review, and HR checks the submissions before calibration and release. The subject later acknowledges the released review. During the same period, a mandatory safety course is assigned with a due date. After completion, HR records the completion date and certificate reference in Training Records.
Before a clinical assignment is renewed, the credentialing specialist checks the training record’s expiration date. If it is marked expiring soon, the team assigns a course or asks for fresh evidence. Rehearse a failed course enrollment as well: its outcome should remain visible and should not appear as valid completed training.
