What you can do

Service charge review in daily work

A service charge review starts with a worked property assignment. The allocation line retains an amount, source reference and source record identity. External confirmation belongs to the same assignment, so a reviewer can compare the claimed amount with the confirmed amount. The decision records the reviewer, outcome and exact source revision.

The Service Charge Reviewer needs the current assignment and its evidence before deciding. A later edit to hours, pool or weighting can make an earlier decision irrelevant to the corrected period. Keep the prior decision for history and examine the new revision on its own.

How the work is organized

  • Allocation. Property Operations Manager checks each line against the parent assignment and its source identity.
  • Evidence. The reviewer compares external confirmation, documents and unresolved actions for that period.
  • Decision. Service Charge Reviewer records an outcome against the source revision and gives any difference an owner.

What to agree during setup

Agree what counts as a source reference and which external confirmation is authoritative for a service date. Name the person who resolves a difference and the person who decides a revision. Decide when evidence must be verified before a period can close.

Use a worked period with a known pool and weighting in rehearsal. Compare the recorded allocation amount with the expected calculation outside the app, then inspect the line’s source identity. Correct the underlying assignment and ask the reviewer to distinguish the earlier decision from the current revision.

Check the handoff on an actual case

A property owner finds that an allocation line differs from the external confirmation. The owner keeps both amounts visible and asks the Service Charge Reviewer to inspect the worked assignment. The reviewer checks the source reference, supporting document and current revision, then records a returned decision and reason. The owner assigns a follow-up to investigate the difference.

When the amount is corrected, the reviewer considers the new source revision and records a fresh decision. The earlier decision remains evidence of what was seen at that time. Closure follows only after the owner can explain the current amount and the status of the follow-up.

What your team sees

  • Allocation lines for review — Pending or rejected lines with amounts and source references.
  • Assignment review inbox — Decisions awaiting a reviewer on a named assignment revision.
  • Open follow-ups — Unresolved differences assigned to a person and due date.
