What you can do
Start with the employee record
The employee register is the common reference for hiring, leave, payroll, reviews and learning. HR Business Partner records the worker’s legal entity, country, currency, employment type, hire date, department, location and manager. That same person record links to a position and payroll calendar, so the payroll team can prepare a run for the right entity and period.
The Employees page gives HR a live distribution by department and a filtered employee register. Open a person to check the detail before changing their assignment. A manager can inspect the reporting relationship through the employee and position records, while CHRO / VP People can review the wider workforce.
How the work is organized
- Structure. Departments hold parent departments and cost centers; locations carry country and tax jurisdiction.
- Seat. Positions link job titles, departments, locations, pay grades and the position they report to.
- Person. Employees link the current position, manager and calendar; employment history records dated changes.
A new position can be planned or open before anyone fills it. The position record has headcount and status, while the employee record identifies the person eventually assigned. Keep those two decisions separate when reviewing an upcoming hire.
What to agree during setup
Agree which legal entity value each worker belongs to, how the country and currency values will be chosen, and which payroll calendar applies. Settle department and location naming before importing employees. Pay grades have their own currency and effective dates, so HR and Payroll Admin should review those dates together.
Decide who may change a person’s manager, position or salary. HR Business Partner has entry access to employees and employment history. Payroll Admin can see employees but works in the pay records. CHRO / VP People has oversight without general record entry. That separation makes a compensation change visible to the people who need to review it.
Check the handoff on an actual case
For a worker starting with Kestrel Holdings gmb H in Germany, HR checks the open position, department and location first. The location’s tax jurisdiction and the employee’s payroll calendar should refer to the same operating country. HR then records the hire date and currency, and links the employee to the position. Payroll Admin checks the employee on the applicable calendar before including the person in a run.
If the worker later transfers, record an employment history event with an effective date and from and to positions. Review the resulting employee assignment before the next pay period. The history remains useful when an earlier report or statement needs to be explained.
