What you can do
Separate assignment from evidence
The course catalog describes the learning item: code, name, category, delivery mode, duration, competency, whether it is mandatory and whether it is active. A course enrollment connects a specific employee to a course with an assignment reason, due date, completion date, score and status. A training record is the durable evidence after completion, with its title, provider, completion date, optional certificate link, expiration date and validity status.
How the work is organized
- Catalog. L&D Admin maintains active courses and the competency each course addresses.
- Enrollment. Assign an employee to a course and review progress against the due date.
- Evidence. Keep the completed training record and inspect expiry before the next operating cycle.
What to agree during setup
Choose the courses relevant to each role and confirm whether they are mandatory. The catalog can classify courses as Compliance, Safety, Technical, Leadership or Onboarding. The delivery may be e-learning, classroom, blended or external. Define who can accept external completion evidence, where certificates are stored and how long a completed item remains valid. A course’s certification valid months can inform the expected expiry, but L&D Admin should verify the date on each training record.
A new employee may receive courses during onboarding. The onboarding task and course enrollment are separate records: one coordinates a handoff, the other tracks learning progress. Decide which event counts as completed for each course. A score may be recorded on the enrollment, while the training record keeps the completion and expiry information that future reviewers need.
Check the handoff on an actual case
A new worker joins an operations department and needs a safety course before taking on duties. L&D Admin checks that the course is active and marked mandatory, then creates an enrollment for the employee with a due date and Role Requirement or Mandatory assignment reason. The enrollment begins Enrolled and may move to In Progress. When completion is confirmed, record the completion date and score as appropriate and mark the enrollment Completed. Create a training record with the course, title, provider, completion date and expiration date. Review the certificate link and the status before closing the related onboarding task.
For a returning worker, inspect their existing training record first. A record marked Expiring Soon deserves a renewal plan; one marked Expired or Revoked should not be presented as current. If the employee fails a course, preserve the Failed enrollment outcome and decide whether to assign a new enrollment rather than overwriting the old attempt.
