What you can do
Review the requested period
Put requested absence, leave balances, weekly timesheets and time entries in context. Employees enter leave requests and weekly timesheets. A leave request identifies the employee, leave type, dates and approver. The balance record gives accrued, taken and pending amounts for that employee and leave type. Daily time entries sit under the weekly timesheet and distinguish regular from overtime hours.
How the work is organized
- Prepare the record. Employee records the leave type, dates and approver, and enters daily hours under the correct weekly timesheet.
- Review the decision. The named approver compares the request with the employee’s balance and the timesheet with its daily entries.
- Close the handoff. Admin records the decision; Payroll Admin reads only approved period inputs when preparing pay.
What to agree during setup
Name the employee who reviews each request and timesheet. Admin records the approver’s decision. Payroll Admin reads the leave and timesheet records for pay preparation. Agree how the approver hands a decision to Admin.
Check leave type rules, documentation needs and the weekly cutoff before inviting employees to enter time. Reconcile requested dates with the employee’s balance and daily entries with the timesheet total. The implementation plan gives the first cycle a bounded scope.
Check the handoff on an actual case
Consider an employee requests leave during a payroll week. The employee submits the dates and leave type. The approver checks the balance and request period before deciding. Payroll Admin then checks the approved request alongside the weekly timesheet and its daily entries. The employee submits the request with dates and leave type. The named approver checks the balance for the same leave type and employee; Admin records the resulting status. If the requested dates cross a payroll period, split the review by period before Payroll Admin reads the approved result. A rejected request remains distinct from a later corrected request. Payroll Admin reads the approved leave and submitted hours before preparing pay.
Test a normal case and one with a changed date or mismatched reference. Ask the operating owner to show the source record and its linked result. Repeat with an account outside the permitted role and confirm it cannot change the record. Keep the earlier decision available when correcting a mistake.
