What you can do
Give each transition an owner
Assign arrival and departure work while retaining dated employee changes. An accepted offer leads to an employee record and arrival checklist. The checklist groups tasks by assignee and due date; a hire event in employment history explains when employment began. Transfer and departure use their own checklist types and dated history rather than replacing the earlier event.
How the work is organized
- Prepare the record. Match the accepted offer to the employee ID and start date before assigning an onboarding checklist.
- Review the decision. Give each task an assignee and due date; Admin follows blocked tasks and records completion evidence.
- Close the handoff. Record the dated hire or transfer in employment history and compare it with the current employee assignment.
What to agree during setup
Admin creates and updates onboarding checklists and tasks. HR Business Partner maintains the employee and employment history; task assignees provide evidence for Admin to record. Agree that handoff before inviting a new hire.
Check the employee ID and start date against the accepted offer. Choose due dates for IT, payroll and manager work, then decide who follows blocked items. The implementation plan gives the first cycle a bounded scope.
Check the handoff on an actual case
Consider a new hire accepts an offer. HR Business Partner checks the new employee identity and start date, prepares the onboarding checklist, and routes equipment, payroll and manager tasks to named assignees. The hire event belongs in employment history. Admin links the checklist to the new employee and assigns tasks with due dates. A blocked equipment task should remain visible to Admin while payroll and manager tasks continue. When evidence arrives, Admin records completion on that task, then checks whether the checklist is ready to move from in progress to Completed. HR Business Partner records the dated hire event; compare its effective date with the employee hire date before Payroll Admin uses the employee in a pay period.
Test a normal case and one with a changed date or mismatched reference. Ask the operating owner to show the source record and its linked result. Repeat with an account outside the permitted role and confirm it cannot change the record. Keep the earlier decision available when correcting a mistake.
What your team sees
- Onboarding tasks in progress — Pending, active and blocked tasks for Admin to follow.
- Active employee register — The employee record used to confirm the hire identity and current assignment.
