What you can do
Agree the pay period
Prepare pay periods, employee statements, benefit enrollment and tax records. Payroll Admin owns pay calendars, runs, statements, lines and tax filings. A run has a calendar, period and pay date; each statement links an employee to that run. Benefit enrollments carry effective dates and contribution amounts, but Payroll Admin has read access to them. Admin maintains benefit plans and enrollments.
How the work is organized
- Prepare the record. Payroll Admin sets the calendar, period, pay date and run type before preparing statements.
- Review the decision. Compare each statement and its lines with the employee, benefit effective dates and run totals.
- Close the handoff. Admin records the designated pay decision before Payroll Admin posts and reconciles filings.
What to agree during setup
Choose the legal entity, currency, cutoff days and pay date for each calendar. Name the person whose decision appears on the run and how Admin records it. Payroll Admin can prepare and post the run; Admin records the designated approver’s decision.
Set benefit effective dates before calculating the period. Compare statement earnings, deductions and net amounts with the run totals. Keep payment and filing confirmation as a separate reconciliation step. The implementation plan gives the first cycle a bounded scope.
Check the handoff on an actual case
Consider a regular payroll run includes an employee with a benefit enrollment. Payroll Admin checks the employee’s payroll calendar and benefit effective dates, reviews the statement lines and run totals, then presents the run to its named approver before posting. For a regular run, Payroll Admin checks the employee’s calendar and active benefit enrollment, then reviews the statement lines. If an enrollment begins midway through the period, check its effective date before applying the contribution. Compare the statement’s gross pay and deductions with the run totals, and resolve a mismatched employee or currency before approval. Admin records the designated approver’s decision at pending approval before Payroll Admin posts the run.
Test a normal case and one with a changed date or mismatched reference. Ask the operating owner to show the source record and its linked result. Repeat with an account outside the permitted role and confirm it cannot change the record. Keep the earlier decision available when correcting a mistake.
