What you can do

Set the cycle and course

Connect review cycles and goals with course assignments and durable training records. Admin maintains the performance cycle record. HR Business Partner maintains employee goals and reviews; a review names its subject, reviewer and cycle. L&D Admin manages courses, enrollments and training records. Completion dates and expiration dates keep the learning outcome distinct from the assignment.

How the work is organized

  • Prepare the record. Admin sets the performance cycle dates; HR Business Partner links each review to its subject and reviewer.
  • Review the decision. L&D Admin assigns courses by employee and due date, then checks the enrollment result.
  • Close the handoff. Match a completed enrollment to its training record and check the completion and expiration dates.

What to agree during setup

Agree cycle dates, self-review and manager-review due dates before opening a cycle. Admin enters the cycle; HR Business Partner checks review subjects and reviewers. Decide when a submitted review can be released and who verifies it.

L&D Admin should match each course enrollment to the employee and course before recording completion. Set certification validity on the course and check the resulting expiration date. The implementation plan gives the first cycle a bounded scope.

Check the handoff on an actual case

Consider a manager review coincides with required training. HR Business Partner checks the subject, reviewer and cycle before release. L&D Admin checks the course assignment and due date, then records completion and any certification expiration in the training record. HR Business Partner checks that the manager review names the intended employee and cycle. L&D Admin checks the course enrollment and completion evidence before creating a training record for the same employee and course. For a required course, compare the enrollment due date with the completion date. Check the training record’s expiration date before treating a certification as current. A completed enrollment and a valid training record answer different questions.

Test a normal case and one with a changed date or mismatched reference. Ask the operating owner to show the source record and its linked result. Repeat with an account outside the permitted role and confirm it cannot change the record. Keep the earlier decision available when correcting a mistake.
